How to Send or Receive Confidential and Sensitive Data

This is a reminder to ALL STAFF that send or receive confidential and sensitive data which includes:

  • Social Security numbers
  • Banking information
  • State-issued identification card numbers or driver's license numbers
  • Medical and health records
  • Insurance provider information
  • Credit card numbers, pin numbers and expiration dates
  • Cardholder account and transaction information
  • Username and passwords
  • Any Personal Identifiable data (PII)

IMPORTANT: LiquidFiles, the County’s secure file transfer system, is the method to safely communicate and encrypt communication including confidential and sensitive data. It can also be used for large file transfers that exceed the Microsoft Outlook size limit of 10 MB.

Microsoft Outlook is a communication tool for regular email communication. Email communication using Microsoft Outlook to send or receive is NOT encrypted and can be scanned.

 

Below are instructions for sending and requesting secure email using LiquidFiles

 

Sending Secure Email

 

  1. All Bedford County users have a shortcut on their desktop: https://liquidfiles.bedfordcountyva.gov/

  1. Log into the site with your email address and network password
  2. You will be presented with this screen.

  1. After everything is filled out/attached you can hit send. You will receive a copy of the email.

 

Requesting Files

 

  1. On your desktop there is a shortcut - https://liquidfiles.bedfordcountyva.gov/

  1. Log into the site with your email address and network password 
  2. At the top once logged in click “File Requests”

  1. Click new file request
  2. Enter in the email, Subject, Message and set when the link will expire
  3. After that request file
  4. The other party will receive the link and be able to drop the file into it and you will get a notification when done to retrieve it.
